To detect inactive Microsoft 365 groups based on activity, ShareGate Apricot looks for user generated activity in the groups and extracts the dates of such activities. We call this activity crawling.
We look for activity in the following workloads:
- Outlook conversations
- Delivery dates of email conversations.
- Outlook Calendar
- Creation and Last Modified dates for non-recurring events.
- Creation and Last Modified dates for recurring events.
- SharePoint
- Last viewed dates.
- User modification dates.
- Teams
- Message dates.
- Message reaction dates.
The app displays the workloads that can be crawled in the Group page or in Group details.
ShareGate Apricot checks to see if the time that elapsed since the last activity date on the workload is longer than what has been configured in your inactive groups policy settings. A workload icon is displayed in color if active, and will appear translucent if inactive.
A group is considered inactive if all available workloads are inactive.
Note: An app is not displayed when the application does not have access to it or if it is not present in your group. For example, Teams might not be enabled on all your groups and ShareGate Apricot cannot crawl Outlook calendars in private groups unless you are also an owner of the group.
