ShareGate Apricot helps you collaborate with your team and group owners. Create purpose tags and sensitivity tags and your owners can select the tags that best represent what they intend to do with their team or group and how sensitive the information shared within it is.
Using the Teams chatbot, you can send your team and group owners 2 types of categorization notifications:
- A manual bulk action categorization request.
- Automated requests for owners to categorize newly created teams and groups.
Tip: For information on how the notification will look to your owners, see Take action on purpose and sensitivity.
- Do not disturb list
- No response
- Relationship to policies
Automate categorization requests
By default, automated categorization notifications are set to off. To send notifications, you must activate them from the Settings. Select Categorization from the menu, then toggle on Automate categorization policies to activate the Teams chatbot.
Bulk categorization request
Send a categorization request to owners of teams and groups that were created before your activation of ShareGate Apricot, that were created before the Teams chatbot automation was turned on, or that need another look.
There are no prerequisites to send a bulk categorization request. For information on how-to, see Ask owners to categorize.
Your bulk categorization requests are sent to team and group owners within 1-3 hours of the action.
When the feature is activated, the Teams chatbot automatically prompts owners of newly created teams and groups to add a purpose and sensitivity tag to their teams or groups. Notifications are sent within 1-3 hours after a team or group is created.
There is no limit to the number of categorization notifications an owner can receive in a day. If an owner creates 10 new teams, they receive 10 notifications.
Do not disturb list
It is possible to add specific users to a Do not disturb list to prevent them from being sent notifications.
An owner has 14 days total to respond to the notification. If an owner does not respond to the first notification, a reminder is sent after 7 days. For security, there is an expiration of 30 days for categorization notifications.
Relationship to policies
You can set a custom external sharing review cycle for your sensitivity tags. Owners receive an email or Teams chatbot notification when it's time to review external sharing links and guest access in their teams and groups.
