ShareGate Apricot helps you collaborate with your team and group owners. Create purpose tags and sensitivity tags and your owners can select the tags that best represent what they intend to do with their team or group and how sensitive the information shared within it is.
Using the Teams chatbot, you can send your team and group owners 2 types of categorization notifications:
- A single bulk action categorization request to pre-existing teams and groups.
- Automatic requests for owners of new teams and groups to choose categorization tags.

Bulk categorization request
You can send a categorization request to the owners of teams and groups that were created before your activation of ShareGate Apricot or that were created before the Teams chatbot automation was turned on.

Automate categorization policies
The notifications to automate your collaboration with team and group owners are not on by default. You must activate the feature in the settings to enable them.
Select Categorization from the menu, then toggle on Automate categorization policies to activate the Teams chatbot.
When the feature is activated, your Teams chatbot automatically prompts owners of newly created teams and groups to add a purpose and sensitivity tag to their teams or groups. Notifications are sent within 1-3 hours after a team or group is created.
Your bulk categorization requests are sent to team and group owners within 1-3 hours of your bulk action.
There is no limitation on the number of Teams chatbot notifications an owner can receive in a day. If an owner creates 10 new teams, they receive 10 chatbot notifications.
An owner has 14 days total to respond to the notification. If an owner does not respond to the first notification, a reminder is sent after 7 days. For security, there is an expiration of 30 days for categorization notifications.
Review unanswered notifications sent to team owners from the Dashboard tiles, or use the Manage page filters for visibility on all teams and groups in your environment.
Do not disturb list
It is possible to add specific users to a Do not disturb list to prevent them from being sent notifications.
Relationship to policies
You can set a custom External sharing review policy for your sensitivity tags. The entrusted owner of a team or group receives an email when it is time to review external sharing links and guest access in their team or group.
Note: The bot will only do what you activate it for. If you activate it to categorize your groups, it will not send Inactivity detection policy requests unless you activate it for that feature as well.
